How to run customer service on WhatsApp with a whole team

A practical way to run WhatsApp customer service with several agents on one number: assignment, response time, saved replies and measuring performance.

The problem: one phone, a whole team

The usual setup: a WhatsApp number on one phone in one employee's hand, or WhatsApp Web open on several computers. One customer gets two different answers, another gets none, and nobody knows who is responsible.

The fix is putting the number on a shared inbox on the WhatsApp Business API, with every agent signing in to their own account.

1. Assign conversations to an owner

Every conversation needs one owner. In FASLA CLOUD you set the owner of each conversation and can let only the owner reply — so no two agents answer the same customer.

2. Use internal notes

When an agent needs to ask a colleague or hand over a conversation, they write an internal note inside it. The customer never sees it, and the history stays in one place.

3. Set a response-time target and follow it

Time to first reply matters most to a customer on WhatsApp. Set a clear target (say, a first reply within 15 minutes in working hours) and follow it — the platform measures the first reply on every conversation.

Customers who get a fast answer buy more and complain less.

4. Prepare quick replies

In FASLA CLOUD you type "/" and pick a saved reply instead of typing it again — and edit it before sending if needed.

  • Opening hours, addresses and payment methods.
  • Shipping and return steps.
  • Answers to your ten most common questions.

5. An automated reply outside working hours

Do not leave customers unanswered at night. Turn on an automated reply that says when they will hear back, or a simple bot that asks about their request and routes it.

6. Measure and improve every week

  • Average time to first reply.
  • Conversations per agent.
  • Open conversations waiting for a reply.
  • The most frequent questions — turn them into saved replies or a bot.

In short

WhatsApp customer service for a whole team needs three things: a shared inbox, a clear owner for every conversation, and metrics you follow. That is exactly what FASLA CLOUD is built for.
