How to protect customer conversations and data when a whole team works on WhatsApp: separate accounts, permissions, per-agent numbers, and exporting and deleting data.
The real risk: one shared phone
When the whole team uses one phone or WhatsApp Web open on several computers, everyone sees everything and nobody can tell who sent what. When someone leaves, they may take a copy of customer conversations with them.
1. An account per employee
On a platform such as FASLA CLOUD, each employee signs in with their own account. When someone leaves, you close their account in a second — the number and conversations stay with the company.
2. Permissions that match the job
- Decide which screens each role sees: conversations, contacts, campaigns, settings.
- Decide who can send campaigns or edit templates.
- Decide which WhatsApp number each employee can open.
3. Full isolation between accounts
Each company’s data on the platform is fully isolated, and no account can reach another account’s data.
4. The data is yours
- Export your contacts at any time.
- Request deletion of your data from the data-deletion page.
- Your WhatsApp number is tied to your own Meta business account, not the provider’s.
Simple habits that matter
- Turn on two-factor authentication on Facebook and your Meta business account.
- Review staff and permissions every month.
- Do not ask customers for sensitive data on WhatsApp unless you truly need it.
- Do not share passwords between staff.
